Executive Assistant (EA)

Work Arrangement: Fully remote, with flexibility to handle urgent tasks beyond regular working hours.

Job Type: Full-time

Salary: Up to $1500 per month, depending on experience and qualifications

Work Schedule: 40-50 hours per week, Monday to Friday, 9 AM – 5 PM Eastern Standard Time (EST)

Locations: Remote, open to candidates worldwide.

The company is a Vancouver-based property management firm specializing in short-term rental services, particularly on platforms like Airbnb. Their primary focus is to help property owners maximize their rental income while offering a seamless experience for guests. The company provides comprehensive services, including marketing properties, managing bookings, guest communication, cleaning, maintenance, and pricing optimization.

Role Overview:
As an Executive Assistant in a property management and short-term rental industry, you will focus on supporting the executive leadership team by managing operational and administrative tasks that ensure the smooth running of day-to-day activities. This includes overseeing the coordination of property listings, guest communications, and maintenance schedules. By taking on these essential but time-consuming tasks, you allow the executive team to concentrate on higher-level strategic planning, business expansion, and client acquisition. Your role will be pivotal in ensuring that the company maintains high occupancy rates, superior guest experiences, and efficient property turnover. In doing so, you’ll help the team hit its target of increasing rental revenue by 15% in the next quarter.

Key Responsibilities:

  • Executive Support: Provide direct administrative support to the CEO, manage schedules, and prioritize tasks.
  • Calendar Management: Organize appointments, meetings, and conferences across time zones, proactively addressing scheduling conflicts.
  • Communication & Correspondence: Draft and manage emails, presentations, and reports, ensuring consistency and professionalism.
  • Document Management: Create, organize, and maintain digital records using cloud-based platforms.
  • Travel Coordination: Plan detailed travel itineraries, including bookings and meeting arrangements.
  • Meeting Preparation & Follow-Up: Prepare agendas, meeting notes, and action item lists, ensuring timely follow-up.
  • Project Coordination: Assist in managing special projects by tracking timelines, resources, and stakeholder communication.
  • Office Management: Support hybrid work operations, including vendor coordination and equipment management.



Requirements

  • 5+ years of experience as an Executive Assistant or Chief of Staff.
  • Strong organizational and project management skills.
  • Proficiency with Microsoft Office 365, project management tools (Asana, Trello), and cloud-based platforms.
  • Excellent communication skills.
  • Ability to handle confidential information with discretion.
