SENIOR LEGAL EXECUTIVE ASSISTANT

ROLE OVERVIEW
We are looking for a Senior Legal Executive Assistant to be part of our team.
- The role will provide high-level administrative support to the legal team, focusing on optimizing the department's efficiency through proactive calendar management, communication, and project coordination. This role requires exceptional organizational skills, attention to detail, and managing multiple priorities in a fast-paced legal environment.
MAIN RESPONSIBILITIES
Email Management:
- Triaging emails and prioritizing messages to ensure effective communication and timely responses.
- Assessing the impact of emails on attorneys calendar and making necessary adjustments to prioritize meetings and tasks
Calendar Management
- Maintain the calendar, scheduling appointments and meetings while optimizing time and resources
Travel Arrangements
- Organize travel logistics, including flights, accommodations, and transportation, ensuring all arrangements align with the schedule
Miscellaneous Projects:
- Manage a variety of miscellaneous tasks, including organizing the “junk drawer” of projects and handling mini-projects as needed.
- Take notes during meetings and follow up on action items for one on one sessions.
Coordination with Sr. Case Coordinator
- Collaborate with the Senior Case Coordinator to ensure seamless task management and communication between legal team members.
PowerPoint Slide Decks
- Create and systemize PowerPoint presentations, focusing on consistency in look and feel, and ensuring materials are prepared for speaking engagements and events
- Manage Link-In posts and capture photos after events for internal and external communications.
Requirements

Bachelor’s degree or equivalent experience in a professional setting.

Minimum of 5 years of experience as an executive assistant or in a similar role within a legal environment.

Proficiency in Microsoft Office Suite, especially PowerPoint, and familiarity with calendar management tools.

Exceptional organizational skills and a strong attention to detail.

Excellent written and verbal communication skills.

Ability to manage multiple priorities and work effectively under pressure.

Strong interpersonal skills, with the ability to collaborate across teams.

Must be willing to work night shifts.
