Purpose of the Job


HH Global is seeking a System Administrator to support and maintain their internal job management tool stack, including Workfront, Office 365, and SharePoint. The role involves providing first-line technical support to users, assisting with system adoption, and helping the Operations Manager audit system use and generate key business reports to support KPIs. The ideal candidate will have advanced knowledge of Workfront and experience in business reporting. This full-time position is based in their Manila office, requiring on-site presence five days a week.


Key Responsibilities



  1. Become an Adobe Workfront ‘Super User’ (Workfront is workflow software used for managing all client and internal project work through the business, including Project Management, resource management, quoting and invoicing processes): 

    1. Provide ongoing support to all users  

    2. Provide training for all Workfront users within the business – new starters and refresher training 

    3. Support with timely implementation of feature updates and rollout of associated training to users 

    4. All administrative maintenance within the system e.g., creation of new clients, setting up and removing users, updating documentation as and when required, monitoring the closure of projects in a timely manner. 

    5. System auditing ensuring user adherence to agreed Standard Operating Procedures 

    6. Produce business reporting from Workfront as required 

    7. Raising bugs/support tickets with Workfront when issues cannot be resolved internally – coordinating the timely resolution of these for HH Global users 




 



  1. Support with the adoption of new systems within the business, as well as the production and ongoing maintenance of all supporting documentation. 

    1. Includes supporting Creative + Digital ongoing alignment of systems and processes with the wider HH Global group. 

    2. Support any system integration projects that impact the existing C+D workflow tool stack, being a key point of contact for these projects. 




 



  1. Business reporting – Collating business reporting from the C+D workflow tool stack to support auditing and KPI monitoring. 


 


Knowledge, Skills + Experience



  • 3 to 5 years using Adobe Workfront in at an advanced user level is a MUST

  • At least two years of experience in a business support function/system administrator role

  • College degree in Business, Marketing, Project Management or related field is preferred 

  • Previous experience in a marketing agency environment

  • Experience in scoping, maintaining and/or interpreting business reports

  • A strong ability to successfully manage multiple tasks under pressure

  • Prioritize projects and deadlines, as needed

  • Superior decision making, troubleshooting, negotiating, influencing and interpersonal skills

  • Ability to work within a team environment – in person and virtually

  • Ability to work and function in ambiguity

  • Strong attention to detail

  • Excellent written and verbal communication skills, in English, for internal contact with stakeholders at all levels and external contact with suppliers and partner agencies 

  • Self-motivated team player; must be able to work efficiently with minimal supervision.

  • Great organizational skills, both physically and electronically, with capability to prioritize and manage own time

  • Work closely with other business partners to ensure timely transfer of project materials

  • Proactive and driven individual with a passion for improving processes

  • Technically minded problem solver with the ability to consider how the existing business tech stack (Workfront, Office 365, SharePoint, SAP) could be better utilized to improve ways of working
