JOB DESCRIPTION FOR AN ADMIN ASSISTANT:

We are looking for an Admin Assistant to join our team. The main responsibility of Admin Assistant is to provide a wide range of support services to the Sales and Account Managers. The Admin Assistant will perform a full range of highly responsible, complex, sensitive, and confidential administrative, secretarial, advanced clerical, and programmatic support functions of a general or specialized nature in support of the executives with only occasional instruction or assistance exercising judgment and initiative.

Your Responsibilities as an Admin Assistant would be:
• Plan and organize work activities; recommends improvements in workflow, procedures, and use of equipment and forms; implement improvements as approved; develop and revise office forms and report formats as required;
• Prepare clear, accurate, and concise reports.
• Accurately recording minutes from meetings.
• Using various software, including CRM, word processing, spreadsheets, databases, and presentation software.
• Establish, organize, and maintain a variety of specialized files and records.
• Understand and carry out oral and written directions.
• Respond tactfully, clearly, concisely, and appropriately to inquiries.
• Making travel arrangements for executives.
• Exercise good judgment and maintain confidentiality in maintaining critical and sensitive information, records, and reports.
• Proofread, verify, and review materials, applications, records, reports, and publications for accuracy, completeness, and conformance with established standards, regulations, policies, and procedures; ensure materials, reports, and packets for signature are accurate and complete.
• Maintain calendar of activities, meetings, and various events.
• Establish and maintain effective working relationships with those contacted in the course of work.
• Email Management: Organize, prioritize, and respond to emails in a timely and professional manner, ensuring efficient communication. Manage and maintain an organized inbox, flagging urgent messages and delegating tasks when necessary.
• Perform related duties as required.


Qualifications as an Admin Assistant:
• Graduate of any Bachelor’s Degree.
• Minimum of 2 of work experience as an Admin Assistant or other similar administrative support experience is strongly preferred.
• Minimum of 2 years of proven hands-on experience with office management systems, CRM software, Microsoft Suite, and other applicable software.
• Exceptional communication and written skills.
• Extensive knowledge of principles and practices of office administration.
• Proven hand-on experience exercising discretion and confidentiality with sensitive company information.
• Top-notch organizational skills with an ability to think proactively, multitask and prioritize daily workload.
• Exceptional conceptual thinking, resourcefulness, diligence, attention to detail and creative problem-solving skills.
• Highly organized with top-notch ability to work with limited supervision.
• Adept at meeting deadlines in a fast-paced quickly changing environment.
• Technologically proficient, social media savvy, and has in-depth knowledge with online calendars and/or cloud system.
• Exceptional time management, leadership, and organization skills.
• Advanced knowledge of principles and practices of sound business communication.
• In-depth knowledge of principles of business letter writing and report preparation.
• Advanced knowledge of records management principles and procedures including record keeping and filing principles and practices.
• Extensive knowledge of customer service and public relations methods and techniques.
• Exceptional knowledge of methods and techniques of proper phone etiquette.
• A team player with the initiative to step up into the leadership responsibilities when the need arises.
