Overall purpose and responsibilities of the role:

The Admin/Executive Assistant will be responsible for providing comprehensive administrative support to the executive team. This includes managing calendars, scheduling meetings, organizing travel arrangements, and drafting correspondence.

Additionally, they gather data and create report tables as needed. They serve as the primary point of contact for clients and vendors, handling inquiries, directing calls, and ensuring customer satisfaction. They also conduct customer support activities and address customer concerns, including managing and resolving claims and disputes promptly and professionally.



Requirements

Duties and Responsibilities:

  • Provide administrative support to the executive team, including managing calendars, scheduling meetings, organizing travel arrangements, and drafting correspondence.
  • Serve as the first point of contact for clients and vendors, handling inquiries, directing calls appropriately, and ensuring customer satisfaction.
  • Conduct customer support and address customer concerns, including managing and resolving claims and disputes in a professional and timely manner.
  • Prepare and distribute internal and external communication, including emails, newsletters, reports, presentations, and promotional materials.
  • Coordinate logistics for moving projects, including liaising with clients, movers, and other stakeholders to ensure timely and efficient service delivery.
  • Engage with vendors and partner companies, negotiating contracts and managing relationships to support business operations and procurement.
  • Assist in the preparation of regularly scheduled reports, maintain electronic and hard copy filing systems, and oversee data entry and database management.
  • Extract data from various sources, ensuring accuracy and relevancy. Analyze data to identify trends, generate insights, and support business decisions.
  • Conduct extensive research to inform strategies, identify potential partnerships, and stay abreast of industry developments.
  • Process invoices, track expenses, assist with budget preparation, and handle petty cash.
  • Utilize AI tools such as ChatGPT and other productivity software to streamline tasks, enhance data analysis, and improve operational efficiency.
  • Handle sensitive information in a confidential manner and maintain discretion at all times.
  • Assist with special projects, event planning, and coordination of company activities.

Skills / Qualifications:

  • Bachelor’s degree from an accredited College or University.
  • A minimum of 5-8 years of relevant experience in an Administrative or Executive role.
  • Exceptional written and verbal communication skills.
  • Strong interpersonal abilities, capable of building effective professional relationships.
  • Demonstrated experience in handling sensitive and confidential information with discretion.
  • Proficiency in managing various administrative tasks and working efficiently under pressure.
  • Ability of creating documents/procedures/instructions
  • Good research skills
  • Ability to gather, process data and presenting it
  • Experience using google drive, excel, docs and other tools

Job type: Permanent

Emp type: Full-time / Direct Employment

Schedule: Monday to Friday - 9:00 am – 6:00 pm Boston Time (10:00 pm – 7:00 am PH time), including 1-hr lunch break.
