In this role, you will be the first point of contact, responsible for answering all incoming calls and directing them to the appropriate team member. Additionally, you will manage email correspondence by distributing incoming emails, saving them, and printing for filing purposes. You'll also handle receipting EFT transactions with precision, accurately recording them and ensuring proper filing. Empowering You: Unveiling Your Responsibilities
  • First Point of Contact: Answering all incoming calls when possible and directing them to the appropriate team member.
  • Email Management: Distributing incoming emails, saving, and printing them for filing purposes.
  • Receipting EFT Transactions: Accurately recording EFT transactions and filing them accordingly.
  • Stationery Management: Managing stationery orders to ensure adequate supplies are maintained.
  • File Management in CATS:
  • Scanning documents to CATS files and printing as necessary.
  • Performing data entry tasks.
  • Requesting balance deposits from agents.
  • Ordering Government Searches:
  • Ordering government searches for settlement files and agents.
  • Promptly providing search results to agents and scanning them to CATS files.
  • Utilizing various websites such as SAILIS, Revenue SA, SA Water Epic, and ASIC Connect for search purposes.
  • Post-Settlement Procedures:
  • Preparing letters to clients, agents, and rating authorities after settlement.
  • Handling further correspondence as required.
  • Balance Deposit Management: Following up on balance deposits and coordinating with agents to ensure timely payment.
  • General Assistance:
  • Providing support to conveyancers and other staff members as needed.
  • Engrossing documents, preparing, and drafting letters, and performing straightforward administrative tasks.
  • Document Drafting:
  • Assisting in drafting Form 1 Vendor Disclosure Documents and preparing Lease documents when required.

Requirements

Credentials That Speak Volumes:

  • Previous experience in an administrative support role.
  • Ideally have experience working for a property, real estate, or conveyancing business.
  • Strong communication and interpersonal skills.
  • Excellent organizational and time management abilities.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Attention to detail and accuracy in data entry.
  • Ability to multitask and prioritize tasks effectively.
