The Executive Assistant will provide high-level administrative support to the Managing Director while ensuring smooth office operations and assisting in the management of key projects. The ideal candidate will be a proactive, organized, and detail-oriented individual, capable of managing multiple tasks with efficiency and professionalism.

Job Description:

  • Coordinate and manage the Managing Director’s calendar, ensuring all appointments, meetings, and events are scheduled efficiently. Prioritize and resolve scheduling conflicts, while providing necessary reminders and ensuring time is allocated appropriately.
  • Assist the MD in staying accountable for projects and tasks by providing timely reminders, following up on outstanding action items, and maintaining momentum on key initiatives.
  • Manage weekly travel bookings for the Managing Director, including flight arrangements and accommodation, ensuring trips are well-organized and cost-effective.
  • Maintain and update the action tracker, ensuring that all tasks are documented, deadlines are met, and team members are kept informed of progress.
  • System Administration:
    • Timesheeting & CRM (Productive.io): Administer timesheet entries, update employee information, and produce reports as required.
    • Learning Management System (Go1): Manage onboarding of new employees, update training schedules, and monitor team progress.
    • EOS (i90) System: Assist in system updates, including employee availabilities and team data entry.
  • Oversee office logistics, including ordering IT equipment, making reservations, and coordinating internal staff events to ensure smooth day-to-day operations.
  • Maintain and organize filing structures, ensuring documents are properly filed and accessible when needed. Oversee document version control and ensure compliance with company standards.
  • Support the management of project startup and close-out tasks, ensuring all necessary documentation is in place, timelines are adhered to, and project files are properly organized.
  • Conduct reference checks and follow up with candidates as part of the hiring process. Manage candidate communication and assist with scheduling interviews, ensuring a smooth recruitment process.


Requirements

  • 5 years plus proven experience as an Executive Assistant Β 
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Proficiency in office software and systems (e.g., Microsoft Office, SharePoint, Productive.io, Go1, EOS i90).
  • Excellent communication and interpersonal skills.
  • High attention to detail, with a proactive approach to problem-solving.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work both independently and as part of a team.
