Description

Outsource Access is seeking a dedicated Business Administrative Virtual Assistant to support clients' operational and administrative needs. In this role, you will provide comprehensive support, enabling clients to focus on core business activities while managing day-to-day details. This role is an onsite position with some opportunities for hybrid work set up.

Responsibilities

    • Pull and review outsourcing demand to identify project needs and assign appropriate project engineers for specific countries.
    • Follow guidelines for nominating pre-selected outsourcing partners on service contracts to ensure contractual compliance and quality service delivery.
    • Vet subcontracting renewals, additions, modifications, and deletions by assigning appropriate partners and sending, reviewing, and managing RFQs (Request for Quotation).
    • Maintain and update the vendor database, including vendor names, coverage locations, coverage types, and SLAs (Service Level Agreements).
    • Review subcontracting delivery tickets to identify root causes and implement corrective actions as needed.
    • Analyze cost/benefit factors to identify and evaluate outsourcing opportunities for optimization.
    • Conduct and manage 70% inbound and outbound calls with clients, partners, and vendors to manage outsourcing needs and foster relationships.
    • Attend weekly KPI (Key Performance Indicator) meetings to track and report progress on business development activities.
    • Assist in reviewing outsourcing data and providing insights to support business decisions.
    • Ensure project management tasks are completed in a timely manner, with preference for candidates with project management experience.
    • Smartsheet experience is a plus for tracking and organizing business activities efficiently


Requirements
    • Minimum 2 years of experience in a similar role (e.g., administrative assistant, virtual assistant, business development).
    • Experience in managing outsourcing, vendor relations, or subcontracting processes.
    • Strong organizational skills with attention to detail and ability to manage multiple tasks.
    • Excellent verbal and written communication skills, including proficiency in managing inbound and outbound calls.
    • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); experience with Smartsheet is a plus.
    • Basic project management experience is preferred.
    • Strong problem-solving and analytical skills, with the ability to evaluate cost/benefit factors for outsourcing opportunities.
    • Must approach tasks with a project management mindset, focusing on clear goals, prioritization, and timely execution.
    • Ability to work independently, take initiative, and collaborate with cross-functional teams.
    • Knowledge of RFQ (request for quote) processes and vendor database management.
    • Bachelor’s degree in Business Administration, Operations, or a related field is preferred.
    • Familiarity with SLA (Service Level Agreements) management and vendor performance analysis.
    • Open to working during the graveyard shift or aligning with EST hours.
    • Candidates must reside in Cagayan de Oro, as this is an onsite, office-based role.
