Description

Outsource Access is seeking a skilled and experienced Chief Executive Assistant to provide high-level administrative support to our executive team. As the Chief Executive Assistant, you will be responsible for managing executive calendars, coordinating travel arrangements, preparing reports and presentations, and assisting with various administrative tasksThe ideal candidate should have a proven track record of supporting C-level executives, exceptional organizational skills, the ability to multitask effectively, and must excel in handling confidential and sensitive information. Responsibilities:

  • Executive Support: Serve as the primary point of contact for internal and external stakeholders on matters pertaining to the CEO. Provide comprehensive support, including managing calendars, scheduling meetings, preparing briefing materials, and coordinating travel arrangements.
  • Communication: Draft, review, and send communications on behalf of the CEO. Maintain confidentiality and exercise discretion when handling sensitive information.
  • Meeting Coordination: Organize and prepare for meetings, including drafting agendas, managing logistics, taking meeting minutes, and following up on action items.
  • Strategic Planning: Assist in the preparation of reports, presentations, and data analysis for strategic planning and decision-making processes.
  • Office Management: Oversee the daily operations of the executive office, including managing office budgets, ordering supplies, and ensuring the office runs smoothly.
  • Liaison Role: Act as a liaison between the CEO and other executives, employees, clients, and external partners. Foster and maintain relationships that support the organization’s goals.


Requirements
  • Minimum of 5 years of experience as an Executive Assistant or similar role, preferably supporting C-level executives.
  • Bachelor’s degree in Business Administration, Management, or a related field (Master’s degree preferred).
  • Exceptional organizational and multitasking skills, with a keen attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency in Google Workspace (Gmail, Meet, Drive, Sheets, Docs) and/or Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Proficiency in upholding the highest standards of confidentiality and expertly managing sensitive and confidential information with discretion and integrity.
  • Ability to work independently and take initiative.
  • Flexibility and adaptability in a fast-paced environment.
  • Willing to work US hours.
  • Preferably Cagayan de Oro-based
