Organizational Setting and Reporting Relationship


The position of Executive Assistant is assigned to the Office of the Director General (EAOD) within the East Asia Department (EARD). You will be based at our Headquarters in Manila, Philippines.


You will report to Director General, EARD.


Your Role


As an Executive Assistant, you will perform full administrative and operational services of a responsible and confidential nature for Director General, EARD, and coordinate inter-departmental and inter-management offices administrative activities.


You will:



  • Ensure that all correspondence and documents for Director General, EARD are prepared in compliance with ADB's standards.

  • Monitor progress/status of confidential matters/documents requiring immediate action/attention to ensure completion within deadlines.

  • Screen incoming telephone calls, take accurate messages, deal with queries from callers and visitors, establish nature and priority of requirements of unexpected visitors, to ensure they are attended to and referred promptly to the concerned staff/appropriate party.

  • Manage the supervisor's schedule and ensure that appropriate arrangements are made for meetings, travel, accommodation and events observing ADB procedures.

  • Prepare Concur travel requests and travel expense reports, and submit complete and accurate documents relating to meetings, mission travels, and other events.

  • Ensure that instructions from Director General, EARD are passed on to all concerned staff for proper action, and compile briefing materials/progress reports as applicable.

  • Ensure that the office filing systems and records are properly maintained and updated following an existing framework.

  • Monitor leaves, attendance, and staff on mission.

  • Be an alternate budget coordinator for EARD and may review and clear requests for staff consultants to ensure that all attached documents are in order before approval.

  • Perform any other duties as may be required and reflected in the incumbent's workplan.


You will need:



  • Bachelor's degree in business management, communications, social sciences, or relevant disciplines

  • At least 5 years of relevant professional experience

  • Experience in common word-processing, spreadsheets and graphics software.

  • Familiarity in videoconferencing tools (MS Teams, Zoom, Webex).

  • Skills to work together with offices of the board, the senior management, other high-level visitors and exhibits knowledge protocol.

  • Good sense of judgement and keen on details.

Additional Information


ADB will be rolling-out a new job grading structure on 1 January 2025, which may result in a change of the position grade and title with no change in the terms of reference.
