DescriptionWe are seeking a highly organized and detail-oriented Executive Assistant with strong expertise in finance and bookkeeping to provide comprehensive support to our executive team. This role will be key in managing the companyβs full-cycle accounting operations, in addition to administrative and marketing-related tasks. The Executive Assistant will also assist with automation processes and tool management to enhance overall business efficiency.
This role is permanently remote, with availability required from Monday to Friday during U.S. business hours, specifically Mountain Standard Time (MST).
Key Responsibilities:
- Provide administrative support to the executive team based in Denver, Colorado, working during MST hours.
- Handle full-cycle accounting, including accounts payable, accounts receivable, payroll, expense tracking, and financial reporting.
- Maintain and organize financial records, reconcile accounts, process invoices, and ensure accurate financial documentation in collaboration with the finance team.
- Handle sensitive financial information and ensure data security and strict confidentiality.
- Track and manage executive expenses, and ensure timely reimbursements and proper documentation for audit purposes.
- Arrange complex travel itineraries, manage meeting schedules, and assist in preparing board meetings by assembling materials, distributing agendas, and recording minutes.
- Support the setup, monitoring, and management of tools such as HubSpot and Zapier to automate workflows and streamline financial and business processes.
- Collaborate with the marketing team to manage tasks like drafting email campaigns, overseeing marketing calendars, and supporting marketing automation efforts.
Requirements - Fluency in English with excellent oral, written, and interpersonal communication skills.
- Minimum of 5+ years of experience in bookkeeping, finance, and accounting, including managing accounts payable/receivable, payroll, and financial reporting.
- Proven experience in providing executive-level administrative support, ideally supporting senior leadership (SVP level or higher).
- Proficiency in HubSpot, Zapier, Google Workspace (e.g., Gmail, Calendar, Docs, Sheets), and Slack.
- Experience in managing the entire accounting process, including payroll, expense tracking, and financial reporting.
- Strong attention to detail, with the ability to manage multiple projects and prioritize tasks in a fast-paced environment.
- High integrity and a proven ability to maintain the confidentiality of sensitive financial information.
- Ability to adjust to changing schedules and handle last-minute requests efficiently.
- A proactive mindset with the ability to anticipate financial needs, identify issues, and provide solutions.
