Our US Partner is a multi-faceted Broadway media company. Taking a digital-first and fan-forward approach, they specialize in amplifying the magic of Broadway beyond the four walls of the theatre from viral TikToks, to photography and video production, to fan and influencer events.
We are seeking a highly organized and proactive Virtual Executive Assistant to support the CEO of a diverse portfolio. The ideal candidate will be proficient in managing multiple business lines, and skilled in ensuring smooth operations across various platforms. This role requires exceptional communication skills, attention to detail, and the ability to respond promptly to a variety of administrative tasks.
This is a full-time role, on a US shift and on a WFH set-up.

Key Responsibilities:
1. Voice Over Business Management:
o Respond promptly to messages and inquiries related to voice over projects.
o Access and manage Dropbox files for the voice over business, including checking, completing, and delivering messages and media files to multiple clients.
o Maintain organized and up-to-date records of completed voice over projects.
2. Vacation Rental Management:
o Update and manage the Google Calendar for the cleaning team associated with vacation rentals
o Ensure timely scheduling and coordination for cleaning services.
3. Email and Calendar Organization:
o Manage the email inbox, including color-coding and organizing emails for effective and efficient communication.
o Assist in organizing and managing the Google Calendar to keep track of important dates, deadlines, and appointments.
4. Social Media and Content Booking:
o Assist in managing social media accounts to book and promote content related to Broadway shows, voice over work, and other business lines.
o Ensure accurate representation and booking for various shows, avoiding email and schedule conflicts.
o Perform basic video editing and uploading using tools like CapCut and iMovie.
o Utilize social media, AI, and data analytics tools (e.g., Zapier, Airtable, Bloom) to automate processes and enhance efficiency.
5. General Administrative Support:
o Monitor and ensure that all tasks and responsibilities are completed in a timely and efficient manner.
o Provide support to manage and prioritize daily tasks and projects for the CEO.
o Respond to new clients across several platforms, including Fiverr, Airbnb, Vrbo and Guesty
Qualifications:
Experience: Prior experience in administrative support, particularly within the entertainment or theater industry, is highly desirable.
Skills:
o Exceptional organizational and time-management skills.
o Proficiency in using Dropbox, Google Calendar, and social media platforms.
o Strong written and verbal communication skills.
o Ability to respond quickly to messages and manage multiple tasks simultaneously.
