Job Requirements:

  • Experience: Minimum of 2.5 years of experience in an Executive Assistant or similar role. 
  • Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint), Google Workspace, and Jira ticketing software. Familiarity with other project management tools like Asana, Trello, or Monday.com is a plus.
  • Organizational Skills: Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously. 
  • Communication: Excellent verbal and written communication skills. Problem-Solving: Ability to anticipate needs, troubleshoot challenges, and provide proactive solutions.

Core responsibilities:

  • Calendar and Schedule Management: Coordinate and manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements. 
  • Inbox Management: Organize and manage the executive's inbox, ensuring timely responses to emails, flagging priority items, and delegating correspondence when appropriate. 
  • Task Allocation and Project Oversight via Jira: Use Jira ticketing software to oversee task allocation, track project timelines, and ensure contractors and internal teams complete projects within the designated timeframes.
  • Spreadsheet Support: Create, update, and maintain spreadsheets for reporting, task tracking, and budget management. 
  • Meeting Preparation: Prepare meeting agendas, presentations, and reports for the executive, ensuring all necessary documents are available and organized. 
  • Follow-up and Communication: Act as a point of contact between the executive, contractors, and internal teams, ensuring clear communication and follow-up on tasks and deadlines. 
  • Administrative Support: Assist with general administrative duties, including filing, document organization, and drafting correspondence.
