We are seeking a highly organized and proactive Executive Assistant with 1 to 3 years of experience to support our executive team. The ideal candidate will be a detail-oriented professional capable of managing multiple priorities in a fast-paced environment. This role offers the opportunity to work closely with senior leadership and contribute to the efficient operation of the organization.

Key Responsibilities:

  • Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and making travel arrangements.
  • Prepare and distribute correspondence, memos, reports, and presentations on behalf of the executive team.
  • Coordinate and facilitate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
  • Act as a liaison between executives and internal/external stakeholders, demonstrating professionalism and confidentiality in all interactions.
  • Assist with special projects and initiatives as assigned by executives, exercising flexibility and adaptability to changing priorities.
  • Conduct research and compile data as needed to support decision-making processes.
  • Manage and prioritize incoming communication, including emails, phone calls, and other inquiries.
  • Maintain accurate records and files, ensuring information is organized and easily accessible.
  • Proactively identify opportunities to streamline processes and improve efficiency within the executive office.
  • Uphold company policies and procedures while representing the executive team in a professional manner.

Requirements

  • Bachelor's degree preferred.
  • 1 to 3 years of experience as an executive assistant or in a similar administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Excellent communication skills, both written and verbal, with the ability to interact effectively with individuals at all levels of the organization.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
  • Discretion and confidentiality when handling sensitive information.
  • Proactive attitude with a willingness to take initiative and problem-solve independently.
  • Ability to thrive in a fast-paced environment and adapt to changing priorities.
  • Professional demeanor and strong interpersonal skills.
