Position Title: Executive Assistant Work Set-up: Work onsite Schedule: Monday to Friday, 7 am to 4 pm PH Time Salary: Php 45,000.00 – Php 50,000.00

JOB DESCRIPTION FOR AN EXECUTIVE ASSISTANT:
Your Responsibilities as an Executive Assistant would be:
• Independently perform a full range of varied complex, sensitive, highly responsible, and confidential office administrative, secretarial, advanced clerical, and routine programmatic support functions. • Plan and organize work activities; recommend improvements in workflow, procedures, and use of tools; implement improvements as approved. • Accurately recording minutes from meetings. • Using various software, including CRM, word processing, spreadsheets, databases, and presentation software • Establish, organize, and maintain a variety of specialized files and records in CRM and other databases. • Doing a bit of bookkeeping – through Xero • Manage calendly(calendar) of clients (for Wallace and his business partner) • Respond tactfully, clearly, concisely, and appropriately to inquiries. • Making travel arrangements, booking conference meetings and accommodation for the Executive. • Exercise good judgment and maintain confidentiality in maintaining critical and sensitive information, records, and reports. • Proofread, verify, and review materials, contracts, records, reports, and for accuracy, completeness, and conformance with established standards and procedures; ensure materials, reports, and contracts for signature are accurate and complete. • Maintain calendar of activities, meetings, and various events. • Manage regular social media posting schedule in LinkedIn and basic lead generation activities. • Perform related duties as required.
Qualifications as Executive Assistant:
• Graduate of any Bachelor’s Degree. • Minimum of 2-3 years of work experience as an Executive Assistant or other similar administrative support experience is strongly preferred. • 2 years of proven hands-on experience with office management systems, CRM software, and other applicable software. Experience doing bookkeeping through Zero (atleast 1-2 years exp) • Proficient in utilizing Microsoft Office applications (i.e. Word, Excel, Outlook, OneDrive, Microsoft Teams, etc.,) Google Mail, and Google Calendar, etc., • Familiar with basic LinkedIn/Sales Navigator tasks like posting and generating leads. • Has basic knowledge in Canva for social media postings. • Exceptional communication and written skills. • Technologically proficient, social media savvy, and has in-depth knowledge with online calendars and/or cloud system. • Extensive knowledge of principles and practices of office administration. • Proven hand-on experience exercising discretion and confidentiality with sensitive company information. • Exceptional conceptual thinking, resourcefulness, diligence, attention to detail and creative problem-solving skills. • Resilient and has can do mindset • Assertive • Highly organized with top-notch ability to work with limited supervision. • Exceptional time management and organization skills. • Advanced knowledge of principles and practices of sound business communication. • In-depth knowledge of principles of business letter writing and report preparation. • Advanced knowledge of records management principles and procedures including record keeping and filing principles and practices.
