Job Summary
We are seeking an experienced and motivated Executive Assistant to provide high-level administrative support to Aaron Gilmore, the Director of TreyBridge Accountants. The ideal candidate will be detail-oriented, adaptable, and possess excellent communication and organizational skills. This role offers the opportunity to work closely with a senior leader in a fast-paced, dynamic environment and contribute to the smooth operation of the business.
Key Responsibilities
- Calendar & Scheduling Management: Efficiently manage and organize the Directors calendar, schedule meetings, and coordinate appointments.
- Client Communication: Act as a point of contact for clients, responding to emails, phone calls, and inquiries with professionalism and attention to detail.
- Document Preparation & Reporting: Prepare reports, presentations, and other business documents, including financial summaries and meeting notes.
- Data Entry & Record Keeping: Perform data entry and maintain accurate client accounts and financial records, ensuring strict confidentiality.
- Administrative Support: Handle various administrative tasks, including document preparation, invoice, file management, and office organization.
- Client Relationship Management: Follow up on project deadlines, deliverables, and ensure high client satisfaction by providing excellent support.
- Research & Business Development: Conduct research and gather data to assist with client projects and business development initiatives.
- Team Coordination: Collaborate with internal staff and external subcontractors to ensure the completion of tasks and projects.
- Website & Social Media Support: Assist with updating and managing company websites and social media platforms as needed.
Skills & Qualifications
- Experience: Proven experience as a Executive Assistant or in a similar administrative role supporting senior leadership.
- Organizational Expertise: Strong organizational and multitasking skills, with the ability to manage competing priorities and meet deadlines.
- Communication: Excellent written and verbal communication skills, with an ability to engage professionally with clients and team members.
- Tech Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with accounting software or financial systems is a plus.
- Attention to Detail: Exceptional attention to detail and the ability to handle sensitive information with discretion.
- Independent Work Ethic: Ability to work independently, show initiative, and be self-motivated to proactively solve problems and improve processes.
- Experience in Senior Support: Previous experience providing administrative support to senior leadership or executives is highly preferred.
