We are looking for an Executive Assistant Lead.


Duties and Responsibilities:


  • Oversee a team of administrative staff, ensuring seamless support for an organization's leadership. They are responsible for delegating tasks, mentoring junior assistants, and refining office procedures to enhance overall productivity and efficiency.
  • Preparing financial statements, reports, memos, invoices letters, and other documents.
  • Answering phones and routing calls to the correct person or taking messages.
  • Handling basic bookkeeping tasks.
  • Filing and retrieving corporate records, documents, and reports.
  • Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Helping prepare for meetings.
  • Accurately recording minutes from meetings.
  • Greeting visitors and deciding if they should be able to meet with executives via phone call or e-mail.
  • Using various software, including word processing, spreadsheets, databases, and presentation software.
  • Reading and analyzing incoming memos, and submissions, and distributing them as needed.
  • Making travel arrangements for executives.
  • Performing office duties that include ordering supplies and managing a records database.
  • Opening, sorting, and distributing incoming faxes, emails, and other correspondence.

Qualifications:


  • Must be at least second-year college level. A business degree is an advantage.
  • Must have at least 2 years of experience in a leadership role.
  • Must have a high level of proficiency in Microsoft 365,Β  especially Outlook, Word, PowerPoint, and Excel.
  • Must exhibit excellent communication skills.
  • Must possess attention to detail.
  • Must have good command and comprehension of the English language.
  • Must be willing to work onsite and on a shifting schedule.
