We are looking for an Executive Assistant Lead.
Duties and Responsibilities:
- Oversee a team of administrative staff, ensuring seamless support for an organization's leadership. They are responsible for delegating tasks, mentoring junior assistants, and refining office procedures to enhance overall productivity and efficiency.
- Preparing financial statements, reports, memos, invoices letters, and other documents.
- Answering phones and routing calls to the correct person or taking messages.
- Handling basic bookkeeping tasks.
- Filing and retrieving corporate records, documents, and reports.
- Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
- Helping prepare for meetings.
- Accurately recording minutes from meetings.
- Greeting visitors and deciding if they should be able to meet with executives via phone call or e-mail.
- Using various software, including word processing, spreadsheets, databases, and presentation software.
- Reading and analyzing incoming memos, and submissions, and distributing them as needed.
- Making travel arrangements for executives.
- Performing office duties that include ordering supplies and managing a records database.
- Opening, sorting, and distributing incoming faxes, emails, and other correspondence.
Qualifications:
- Must be at least second-year college level. A business degree is an advantage.
- Must have at least 2 years of experience in a leadership role.
- Must have a high level of proficiency in Microsoft 365,Β especially Outlook, Word, PowerPoint, and Excel.
- Must exhibit excellent communication skills.
- Must possess attention to detail.
- Must have good command and comprehension of the English language.
- Must be willing to work onsite and on a shifting schedule.
