Role: Executive Assistant
Work schedule: Full Time | 40 hours per week | 9 AM to 5 PM Eastern Time (can be flexible)
Salary Range: US$ 1,300 - US$ 1,500.00 per month (Dependent on your skills and experience)

About the Role:

As an Executive Assistant, you will play an integral to the smooth operation of the executive team, starting with onboarding and training to familiarize themselves with company processes and tools. They will also manage executive calendars, arrange travel plans, and assist with operational support, ensuring a seamless workflow. This position offers a unique opportunity to work closely with a talented team on a mission to transform lives through innovative AI-driven cell therapy solutions.

Duties and Responsibilities:

  • Scheduling/Time Management: Managing complex calendars for the CEO and five other founders, scheduling meetings, and setting timely reminders.
  • Travel Management: Arranging domestic and international travel, including flight reservations, hotel accommodations, and other transportation needs.
  • Administrative Tasks: Managing logistics for events, including internal team on-site, company events, and conferences.
  • Operational Support: Assisting with ad-hoc projects, research, and analysis, such as expense tracking, invoice processing, and other administrative tasks as required.


Requirements
  • Has proven experience working as an Executive Assistant supporting C-level executives in a tech start-up / early stage company or supporting executives from a large corporation
  • Is proficient in the following tools: Gmail, Slack, WhatsApp, Notion, Google Calendar, Clockwise, DocuSign, Microsoft Office (MSFT), Brex & Notion
  • Self-motivated & Proactive: Works independently with minimal supervision, takes initiative, and finds creative solutions.
  • Calm Under Pressure: Maintains composure in a fast-paced environment with changing priorities.
  • Time Management & Multitasking: Excellent at managing time and handling multiple tasks efficiently.
  • Detail-Oriented & Organized: Meticulous and highly organized in all aspects of work.
  • Effective Communicator & Tech-Savvy: communicates clearly with team members and clients; comfortable with learning and using new software tools.
