Job Type: Full-time

Salary Range: Starting pay of $1,250 (depending on experience and skillset)

Work Schedule: 40 hours per week, with core hours between 9 AM – 6 PM EST

Locations: Remote, open to candidates in the Philippines

About the Company:

Our client develops cutting-edge AI solutions to assist healthcare professionals in diagnosing and monitoring mental health conditions. Their innovative technology supports clinicians by providing data-driven insights to improve patient outcomes in the mental health field.

Key Responsibilities

1. Executive Leadership & Strategic Alignment

  • Serve as a trusted advisor to the CEO, managing cross-functional projects and aligning priorities across teams.
  • Oversee high-level communications, meeting coordination, and schedule management for the CEO.
  • Act as the main point of contact between the CEO and internal/external stakeholders, ensuring smooth information flow.
  • Support the CEO in driving key business initiatives, ensuring strategic goals are translated into actionable plans.
  • Proactively anticipate the CEO’s needs to streamline decision-making and enhance operational effectiveness.

2. Operational Oversight & Efficiency

  • Lead the daily operations of key departments, collaborating with leadership to enhance efficiency and improve workflows.
  • Assist in developing and executing company-wide strategies, ensuring operational alignment with long-term objectives.
  • Identify and implement process improvements across teams, driving operational excellence and consistency.
  • Monitor and manage project timelines, ensuring resources are allocated effectively and deadlines are met.
  • Coordinate with department heads to resolve bottlenecks and maintain a high standard of operational performance.

3. Project Management & Data-Driven Decision Support

  • Lead critical projects, managing budgets, tracking milestones, and ensuring on-time delivery.
  • Utilize data-driven insights and AI tools to support decision-making and improve business processes.
  • Oversee the implementation and integration of technology tools, including CRM systems and LinkedIn Sales Navigator, to enhance project tracking and talent outreach.
  • Facilitate communication between the CEO and executive teams, ensuring alignment on project objectives and business goals.
  • Ensure that all projects align with the company's strategic priorities and executive directives.

Immediate tasks anticipated for the candidate to fully own on week 1:

  • Gain a comprehensive understanding of Organization strategic goals and priorities.
  • Begin managing the CEO’s high-level communications and major meetings.
  • Assess current operational processes and identify immediate areas for improvement.
  • Start overseeing cross-functional projects and ensure alignment with the executive team.


Requirements
  • 3 or more years in executive or business support roles.
  • Strong organizational, multitasking, and communication skills.
  • Experience with Microsoft Office, Google Workspace, and CRM tools.
  • Familiarity with LinkedIn Sales Navigator and tech industry is a plus.
  • Able to work independently and manage sensitive information.
