Known for hosting viral, sold-out events, the club organizes dinners, parties, workouts, and more, supported by a weekly newsletter and a highly engaged Instagram page. With growing press coverage, brand sponsor inquiries, and merchandise sales, the club is managed by a dedicated team, including a video editor, social media manager, and event planner.
Role Overview
As an Executive Assistant, you will be responsible for managing a variety of tasks across multiple business ventures. This full-time, remote role requires a highly organized individual with excellent interpersonal skills and a fast-paced, solution-oriented mindset. Key responsibilities include lead generation, scheduling and event coordination, administrative and CRM support, project management, and design and e-commerce assistance. The ideal candidate will have experience with tools like Salesforce, HubSpot, Canva, and Shopify, and must demonstrate strong attention to detail and team management abilities to ensure smooth operations.
Key Responsibilities:
Lead Generation & Follow-Ups
- Conduct research to identify business leads and growth opportunities.
- Follow up proactively on tasks for employees, clients, and brands, ensuring timely completion and alignment with business goals.
- Maintain strict attention to unresponsive contacts, team check-ins, and operational needs.
Scheduling & Event Coordination
- Manage meeting, event, and photo shoot schedules, coordinating with photographers and vendors to ensure smooth logistics.
- Keep calendars organized, conflict-free, and timely for appointments and follow-ups.
- Be proactive in addressing scheduling conflicts and event needs.
Administrative & CRM Support
- Handle email and calendar management, ensuring inbox zero and prompt responses.
- Provide administrative support, including travel arrangements, expense management, and CRM data entry (Salesforce, HubSpot).
- Maintain accurate customer information and assist with project summaries and research.
Project & Task Management
- Use project management tools like Linear to track tasks, prioritize deadlines, and ensure milestones are achieved.
- Delegate tasks as needed, maintaining oversight to ensure project progress.
Design & E-commerce Support + Customer Service
- Use Canva to create visually appealing graphics and marketing materials.
- Support Shopify operations, including product updates and customer inquiries.

RequirementsMust-Have:
- Proficiency in email and calendar management tools.
- Experience with CRM systems like Salesforce or HubSpot for data management.
- Strong task and project management skills, including experience with tools like Linear.
- Experience with Canva for design and Shopify for e-commerce management.
- Excellent attention to detail and organizational skills, with the ability to work efficiently in a fast-paced, remote environment.
Nice to Have:
- Experience with Printful or similar platforms (can be learned).
- Previous experience managing social events or working in a social club environment.
- Knowledge of video editing tools or coordination with video teams.
- Familiarity with Google Docs and Google Sheets for project tracking and reporting.
- Experience in customer service or client management, with a solution-oriented mindset.
- Can serve multiple executives.
