The ICT Admin Specialist is responsible for providing administrative tasks such as maintaining
departmental records, managing calendars, scheduling meetings, and organizing documentation
related to ICT projects or activities. They may also handle correspondence, answer phone calls, and
manage email communications. May also assist any ICT personnel in various administrative tasks
and help ensure the smooth functioning of ICT operations and policy compliance.

1. Performs administrative duties for the ICT Head. Coordinates the ICT Dept.
schedules/calendar meetings and conferences, confirms all appointments via email.
Ensures ample time for meetings and other projects.
2. Prepares and modifies documents including correspondence, reports, memos and
drafts.
3. Prepares itinerary and minutes of meetings and department memorandum.
4. Prepares budget documents (e.g., purchase requisitions) and dispatches within 48
hours.
5. Keeps track and maintains confidential records and files for department documentation.
6. Receives and checks delivered items and ensures accuracy of expenditures listed and
timely payment.
7. Assist ICT Head in organizing group activities like team building, meeting, planning
session and etc.
8. Facilitates coordination between different ICT teams or departments, ensuring effective
communication and collaboration. They may assist in organizing team meetings,
distributing meeting agendas, and documenting meeting minutes.
9. Provide clerical support to ensure smooth operations are maintained in an effective and
accurate manner.
10. Manages all ICT account services (e.g. Applications, new installs, Service providers, and
other vendors)
11. Reconciles budgets on a monthly basis. Submits budget updates to the ICT Head.
12. Handles all correspondence for the ICT Head on a daily basis. Drafts routine
correspondence and expedites urgent, confidential, and important correspondence to
appropriate personnel as needed.
13. Organizes correspondence in priority order; exercises discretion in ordering documents
for immediate action and forwards pertinent correspondence directly to associates for
their attention and follow up.
14. Maintains timetables and ensures all deadlines are met as indicated by the ICT Head.

Qualifications:
Must possess at least Bachelor’s/College Degree in any field.
Proficient in MS Office application, basic in trouble shooting skills and in operating standard office equipment.
: At least 2 years of working experience in the related filed.
: Required Skills: Organizational skill, customer service skills and experienced or
specialized in Clerical/Administrative Support or equivalent.
