Be part of our client’s team as a Property Contract Administrator. In this role, you’ll manage property contracts, liaise with vendors and solicitors, and ensure all documents are accurate and up-to-date. You’ll support finance brokers and handle crucial administrative tasks to keep property deals on track.


Career Overview:

  • Employment type: Full-time
  • Shift: Regular Schedule (Mon - Fri; 7AM - 4PM) / (Mon - Fri; 9:00 AM - 6:00 PM Victoria Time)
  • Work setup: Permanent WFH


Key Responsibilities:

  • Liaise with vendors for EOI (Expression of Interest) information.
  • Verify EOI information for accuracy before sending to vendors and solicitors.
  • Follow up with vendors for all property contracts and verify accuracy.
  • Send contracts to clients' solicitors and ensure they are issued to clients via DocuSign.
  • Work with external Finance Brokers to obtain necessary documentation for finance applications.
  • Process data and updates in our CRM system (HubSpot) and keep it current.
  • Attend finance broker and financial planner meetings to stay updated on property deals.
  • File important documents using Google Drive and Dropbox, and provide them to external stakeholders as needed.
  • Provide updates to clients, including build progress and documentation.
  • Forward Builder Invoice claims to mortgage brokers for prompt payment.
  • Schedule PCI Building Inspections through our chosen inspectors.
  • Organize Depreciation Schedules with our chosen quantity surveyors.
  • Arrange referrals to third-party property managers and landlord insurance providers.
  • Perform other administrative tasks and support team members as required.



Requirements

Ideal Candidate Profile:

  • Multiple years of experience in the real estate industry, especially in a contract administrator role.
  1. High attention to detail and excellent organizational skills.

  2. Intermediate to Advanced computer skills, including Google Drive, Zoom, Microsoft Office, Gmail, Adobe PDF Reader, Slack, WhatsApp, DocuSign, and CRM systems (HubSpot).

  3. Exceptional verbal and written communication skills.

  4. Highly motivated, process-driven, and open to learning.

  5. Ability to work independently and follow instructions without constant supervision.

  6. Receptive to feedback and able to implement advice.
