Organizational Setting and Reporting Relationship


The position of Senior Secretariat Assistant is assigned in the Office of the Secretary (SEC). SEC is responsible for providing strategic and operational support to ADB, the Board of Governors, and the Board of Directors. You will be based at our Headquarters in Manila, Philippines.


You will report to the Assistant Secretary and designated International Staff.


Your Role


As Senior Secretariat Assistant, you will provide operational and administrative support for various activities related to SEC's front office and the Information Access Unit's circulation team, and other administrative functions


You will:



  • Review and validate documents to ensure that they meet ADB requirements and standards.

  • Assist in the coordination and implementation of Board programs.

  • Provide assessments and inputs toward improvements in internal business processes and workflows.

  • Contribute to the planning of staff and team development initiatives.

  • Conduct preliminary review and ensures that all documents for supervisor are accurate and prepared in compliance with ADB's Handbook of Style and Usage.

  • Provide administrative support to Board Committee meetings.

  • Support SEC's knowledge management activities, and other projects and initiatives.

  • Provide support to day-to-day activities of SEC such as leave management, back-up support for other front office staff, and monitoring and improvement of SEC's document library.

  • Provide support to the management of events, including the Annual Meeting of the Board of Governors.

  • Perform other duties as may be assigned, including providing support to designated IS, and tasks reflected in the incumbent's workplan.


You will need:



  • Bachelor's degree preferably in Business Administration, Economics, Finance, Communications, or related fields.

  • At least 5 years of relevant professional experience.

  • Excellent proofreading skills with a strong focus on accuracy and detail.

  • Good research and data analysis skills.

  • Demonstrated client orientation; sensitized to working in a diverse and multicultural environment.

  • Ability to interface effectively and diplomatically with clients and other departments.

  • Proficient in standard software programs used in multilateral organizations and developing web-based material.

  • Work collaboratively within teams as a constructive team member.

ADB will be rolling-out a new job grading structure on 1 January 2025, which may result in a change of the position grade and title with no change in the terms of reference.
