As an Admin Assistant, you’ll provide vital administrative and property-focused support to ensure smooth operations and seamless client service. From preparing agreements to managing social media content, your expertise will help drive success in property and finance.

Employment type: Full-Time
Shift: Monday to Friday, 7:00 AM - 4:00 PM
Work setup: Permanent WFH

Your Daily Tasks
Buyers Agency
Admin-Focused:
- Prepare Buyer’s Agency Agreements for new clients to sign.
- Maintain regular communication with stakeholders, providing updates at various stages of the purchase process.
Property-Focused (Training Provided):
- Generate property reports using tools like Price Finder and RP Data.
- Prepare cashflow spreadsheets for property analysis.
- Conduct internet research and initial due diligence on requested properties.
- Draft property-related emails for clients and real estate agents.
- Share property photos, videos, summaries, reports, and cashflow spreadsheets with clients.
- Collate contracts of sale, rental appraisal letters, and submit them to the Finance team for loan processing.
Administrative Tasks
- Manage directors' and senior team members’ diaries, including booking appointments, sending Zoom links, and liaising with clients via email.
- Oversee Facebook group management by creating events and responding to group members.
- Organize and manage documents and emails effectively.
- Create, update, and maintain social media content.
- Coordinate and execute ad-hoc projects based on the evolving needs of the business.

- Exceptional English communication skills, both written and verbal, with a professional speaking voice.
- Excellent telephone etiquette and the ability to manage competing priorities effectively.
- Meticulous attention to detail.
- Capability to work efficiently under pressure.
- Proficiency in creating and analyzing reports.
- Experience collaborating with busy entrepreneurs.
- Intermediate skills in Excel and Google Docs.
- Strong organizational, project management, and problem-solving abilities.
