Job Summary

Core-VA Solutions is seeking a versatile and self-motivated Case Manager Assistant to provide essential remote support to our clients across various industries. This role involves managing diverse case management tasks, ensuring compliance, coordinating care, and maintaining organized records. The ideal candidate will have a strong background in administrative support, exceptional communication skills, and a commitment to client care.

Key Responsibilities:

  • Organize and maintain case files, records, and related documents while ensuring compliance, confidentiality, and secure handling of sensitive information.
  • Schedule and coordinate meetings, appointments, referrals, follow-ups, and other client-related activities to ensure timely access to resources and services.
  • Act as a liaison between clients, service providers, families, and community organizations to address concerns and facilitate communication.
  • Assist in developing, monitoring, and updating individualized service plans, tracking deadlines, renewals, and progress to keep the team informed.
  • Monitor compliance with Medicaid, state, and program-specific regulations for service delivery and documentation.
  • Collaborate with healthcare providers, therapists, and service coordinators to ensure clients receive holistic care and support.
  • Prepare and submit reports on client progress, outcomes, and service utilization to maintain compliance and transparency.
  • Support case managers in resolving care-related concerns and addressing barriers to accessing required services.
  • Provide feedback to improve workflows, service delivery processes, and overall client satisfaction.


Requirements

Education:

    • Bachelor’s degree in Social Work, Healthcare Administration, Business Administration, or a related field preferred.

Experience:

      • 2 years proven experience as a Case Manager Assistant or in a similar administrative role.
      • Experience working with US-based clients is required.
      • Familiarity with Medicaid regulations, state compliance requirements, and program-specific guidelines.
      • Experience with scheduling, reporting, and coordination tasks in a healthcare or social services settings.

Skills:

      • Strong organizational and time management abilities.
      • Excellent communication and interpersonal skills.
      • Proficiency in office software, including Microsoft Office Suite (Word, Excel, Outlook).
      • Ability to work independently, manage priorities, and meet deadlines.
      • Exceptional problem-solving and critical-thinking abilities.
      • Adaptability to changing workflows and client requirements.
      • Commitment to confidentiality and ethical conduct.
      • Ability to work US Central Time hours reliably.
