Job Description
The Executive Assistant provides high-level administrative support to the CEO and executive team, ensuring seamless daily operations. This role requires exceptional organizational skills, attention to detail, discretion and the ability to manage multiple priorities effectively.
Core Responsibilities (include, but not limited too)
- Manage and maintain the executive calendar, including scheduling meetings, appointments and travel arrangements – prepare and process expense reports accurately and on time.
- Screen and prioritize incoming emails, calls and correspondence, responding on behalf of an individual or team.
- Prepare and edit documents, presentations and reports.
- Organize and coordinate meetings, including preparing agendas, taking meeting minutes and ensuring follow ups.
- Arrange logistics for internal and external meetings, including virtual conferences.
- Assist in the planning, coordination and execution of special projects.
- Track deadlines and ensure timely completion of tasks assigned to the CEO or executive team.
- Maintain an organized electronic filing system and arrange for proper storage of physical documents.
- Handle sensitive and confidential information with utmost professionalism while being a trusted liaison between internal and external stakeholders.
- Any other administrative responsibilities that may be assigned.
Requirements
- Bachelor's degree preferred in Business Administration or equivalent.
- 2-3 years of office support experience is required.
- Research skills are an asset.
- Working knowledge of desktop tools and upcoming technology.
- Effective oral/written communication, problem solving, fundamental research, and time management abilities.
- Knowledge of Microsoft Office (Word, Excel, and Outlook).
- Ability to enter data accurately and quickly.
- Must be able to work independently and take initiative in a fast-paced environment.
