As our Executive Assistant, you will provide administrative support to our CEO as well as the
broader B Consulting team. Given the small company environment, the role of an executive
assistant for the CEO can be quite dynamic and may involve stepping into various roles as
needed to support the company’s operations and growth. You will handle a wide range of
administrative and executive support-related tasks, with the ability to work independently and
efficiently in a fast-paced environment. This role requires exceptional communication skills,
attention to detail, and the ability to maintain confidentiality.
What you'll do:
Communication and calendar management
Organize and maintain the CEO’s calendar, including scheduling meetings and
appointments
Prepare agendas, materials, and presentations for meetings; take minutes and
follow up on action items
Handle confidential information with discretion and ensure it is stored securely
HR support
Send CEO birthday texts to our client portfolio
Manage creation + updates for systems list for the team/new hires/terms
(add/remove)
Conduct 30-min system access + values meeting for new hires
Post in Slack for the team's work anniversaries/birthdays (add to a team meeting
agenda)
Gifting (sending birthday/work anniversary/sympathy gifts/recognition gifts)
Manage timekeeping system, Harvest; system review & communication with the
team
Send reminders to the team for out-of-office slack/email message settings (ping
them the day before the time away)
Company events (birthday celebration, holiday party, annual company retreat)
Project Management
Updating Basecamp (project management tool)
Updating Client Assignment files in Google Sheets
Add new employees or contractors to Harvest, Slack, etc. (other systems) Update client compliance database
Update client billing rate sheet with new clients and update Harvest (time
tracking tool) with new rate increases
New Client Onboarding
Conduct onboarding calls with clients
Prepare onboarding checklist and presentations
Gather onboarding document and systems logins and update the team on progress

What you'll bring:
5+ years of experience as an EA or admin
Excellent communication and interpersonal skills
Strong organizational and time management skills, with an eye for detail
Ability to work both independently and collaboratively with cross-functional teams
Knowledge of legal entity structures (C-corp, LLC, S-corp)
Basic knowledge in Quickbooks, Netsuite, and Xero
