Key Responsibilities

Β Calendar Management:

  • Coordinate and manage the executive's schedule, including appointments, meetings, and travel arrangements.

  • Ensure the executive's priorities align with the business's strategic goals and objectives.

  • Continuously assess and adjust the calendar to reflect changing business priorities, ensuring optimal time allocation for high-impact activities.

  • Prioritize and resolve scheduling conflicts with diplomacy and professionalism.

Communication:

  • Act as the first point of contact for the executive team, managing phone calls, emails, and correspondence.

  • Draft, proofread, and edit documents, presentations, and reports.

Meeting Coordination:

  • Organize and prepare materials for meetings, including agendas, presentations, and minutes.

  • Attend meetings, take detailed notes, and follow up on action items.

Travel Arrangements:

  • Plan and coordinate domestic and international travel, including flights, accommodations, and itineraries.

  • Prepare travel expense reports and ensure timely reimbursement.

Administrative Support:

  • Handle confidential information with discretion and integrity.

  • Maintain organized filing systems, both electronic and physical.

  • Assist with special projects and events as needed.

Stakeholder Relations:

  • Build and maintain positive relationships with internal and external stakeholders.

  • Manage and coordinate communication between the executive team and clients, partners, and staff.


Qualifications

  • Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.

  • Experience: Minimum of 5 years of experience as an Executive Assistant or in a similar role supporting senior executives.

  • Skills:

    • Exceptional organizational and time-management skills.

    • Strong written and verbal communication abilities.

    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

    • Ability to work independently and handle multiple tasks simultaneously.

    • High level of professionalism, discretion, and confidentiality.

    • Excellent interpersonal skills and the ability to build relationships with stakeholders.
