The role:


You will manage mostly the administrative side for the CEO such as creating reports, organizing travel and accommodation, taking minutes, and other business-related tasks. To do this role properly you should have a detailed understanding of Groworx’ global business, be extremely fast at solving problems and have a solid experience as an executive or administrative assistant of a Chief Executive in the past.


As as Executive Assistant, you are expected to have the same passion and follow the pace of our Global CEO. Focus and resilience will be your tools to be able to deliver exemplary performance in assisting the Chief Executive.




Job Responsibilities:



  • Manage CEO Diary- primarily important events or external meetings

  • Manage key meeting cycles. e.g. Project Showcases, Monthly Management Meetings etc

  • Manage Town Hall logistics and creation of the monthly presentation

  • Manage Board meeting schedule including reports and Minutes of the Meeting

  • Collate Corporate and Management reports from Managers to ensure timely delivery

  • Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordination

  • Process Expense claims in Xero from receipts

  • Taking dictation and minutes and writing them up subsequently

  • Maintaining the Notion pages, Dropbox folders, Airtable, Calendly, Dext, manual filing and database system, and look for ways to improve current systems

  • Coordinate with the PR & Marketing Team

  • Liaise and assist the CEO during vlogs, podcasts, contents, events and speaking engagements

  • Provide general administrative support including small procurements for the the CEO’s office

  • Manage travel arrangements of the CEO




Job Requirements:



  • Proven experience as an executive assistant or other relevant administrative support experience.

  • Comfortable with technology and embraces fast-paced global set-up

  • Ability to organize different priorities with different level of urgency

  • Must be able to meet deadlines in a fast-paced environment.

  • Good command of English (written and oral)

  • Strong problem-solving skills including creativity in giving solutions

  • Bachelor’s Degree preferably in Business or Office Administration
