The DCX Client Services Home-Based Executive Assistant will be the key player in supporting the executives' day-to-day by providing executive-level administrative support and ensuring smooth operations within the organization. With a focus on multitasking and attention to detail, you will have the opportunity to work on a variety of projects and be a key member of our client's team. WHAT YOU WILL DO 

  • Calendar Management: Scheduling meetings, appointments, and travel arrangements.

  • Communication Management: Handling phone calls, emails, and correspondence; prioritizing and responding on behalf of Don as needed. Sending HR Announcements, and coordinating with team members as necessary.

  • Travel Arrangements: Booking flights, accommodations, and car rental; managing itineraries, managing cancellations and rescheduling and making sure we are booking with cost in mind.

  • Meeting Coordination (Lunch and Learns, Town Halls, Quarterly Meetings, Daily Meetings, Weekly Devotional, L10s ): Preparing meeting materials for some meetings, taking minutes, preparing meeting agendas, making sure meetings are in proper calendars and people are well informed, and transferring information to ASANA.

  • Reports: Submitting credit card activities, generating weekly labor reports, OT reports, some monthly safety reports and LMS reports.

  • Document Management: Organizing and maintaining files throughout the organization

  • Research: Gathering information and data as required for any topics requested by Don

  • Office Management: Ordering supplies through Amazon, paying suppliers/vendors through company credit card, setting up internet, assisting in new warehouse setups. Helps with some licensing, and certifications.

  • Overall Administration Assistance – Assists all departments with administrative tasks. 

Additional Responsibilities

  • Project Management: Assisting with project planning, and coordination.

  • Tools Management: Manages different tools like ASANA, MS Teams, Sharepoint, Learning Management Systems, Safety Systems, Canva, ChatGPT, Hubspot, LinkedIn Sales Navigator, Trumpet, etc

  • Event Planning: Assists in organizing company events and off-site meetings with HR.

  • Social Media / Sales & Marketing: Assists in handling social media pages and the website

  • Confidential Information: Protecting sensitive information and maintaining confidentiality.

WHAT WE LOOK FOR 

  • Education: Bachelor's degree in Business Administration, Communications, or a related field 

  • Experience: 1-3 years of proven experience as an Executive Assistant, Executive Assistant for a C-Suite level report, or other relevant administrative support experience. 

  • Strong Organizational Skills: Ability to manage multiple tasks and prioritize effectively.

  • Excellent Communication Skills: Both written and verbal, including the ability to communicate clearly, concisely and ability to comprehend questions.

  • Building Relationships -   Build relationships with both internal and external clients.

  • Proficiency in Technology: Familiarity with software and tools.

  • Attention to Detail: Ensuring accuracy in all tasks. Making mistake is okay, but be sure to learn how to solve it right away.

  • Discretion and Confidentiality: Handling sensitive information with care.

  • Problem-Solving Skills: Ability to find solutions to challenges.

  • Time Management: Efficiently managing workload and deadlines.

  • Ready for Growth: Must be very willing to learn and expand. Being an EA is a whole learning process, you must be willing to go out of your box and take on new tasks to learn new skills and things.

 

WHAT WE OFFER 

  • Salary Range: Php 30,000- Php 35,000  

  • Job Type: Full-time 

  • Work Shift: 8:00 AM - 5:00 PM CST (USA) 

  • Workdays: Monday through Friday (USA)
