Job Role: Operations Assistant / Project Manager

Work Schedule: Monday - Friday 9 AM - 5 PM (AU Time Zone)

Who The Client Is: A 3PL (Third-Party Logistics), Print, and Mail service provider, the company operates with a strong focus on in-house management of all operations. Based in Sydney, the company values efficiency, precision, and innovative solutions in logistics and related services, with a commitment to never letting customers down. As part of its ongoing growth, the company is expanding its team by adding an offshore Operations Assistant, who will play a key role in ensuring the smooth day-to-day operations of the business.

Role Overview: We are seeking a highly motivated and adaptable Generalist Operational & IT Assistant. The successful candidate will have a strong appetite for learning and a positive attitude, showing initiative and problem solving skills. This role requires an individual who can confidently navigate operational tasks, IT support. You will play a crucial role in enhancing our operational efficiency, managing review requests, and supporting both internal and client-facing projects. This position will report directly to the Operations Director in the areas of business operations and IT support and provision.Β 

Key Responsibilities:

Operations & Administration:

  • Work with the COO
  • Process and monitor client invoices, billing, and other financial records.
  • Collaborating in Notion for documentation of SOPs, Workflows and Knowledge base content.
  • Assist with review requests and survey systems, using platforms like Reviews.io to gather client feedback.
  • Provide support for ticketing systems to resolve operational issues.
  • Weekly invoice reconciliation between Warehouse Management system and Australia Post
  • Managing Reviews.IO and Google Review requestsΒ 
  • Administration of Net Promoter Score (NPS)
  • Collaborate with the sales team to identify opportunities from historical quotes and other sources as directed


Requirements
  • Experience in operations assistance
  • Expertise with Notion or other CRM platforms
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities.
  • Familiarity with ticketing systems and customer survey platforms (such as Reviews.io).
  • Basic understanding of financial processes, including billing and invoice reconciliation.
  • Excellent communication skills and a proactive, team-oriented attitude.
