Could you be the full-time Project Admin Assistant in Mabalacat, Pampanga & Ortigas, Philippines we’re looking for?

RESPONSIBILITIES:

HR Administration

  • Provide a range of administrative and support services to meet the business needs of HR and General Services
  • Visa Process (downgrading, renewal, AEP, exit clearance, etc)
  • Government Agencies (Statutory requirements & Submission of Reports)
  • Invoice processing for payment (expat accommodation/schooling/lease & other related HR vendors)
  • Distribution of communications/office emails/Consortium communication to ensure proper flow of communication amongst employees
  • Receiving of signed Exit Clearance and other offboarding requirements from leavers (med cards/ID/signed exit clearance, etc)
  • Project Org. Chart & Other Client's request (no sensitive information required)

Communication

  • Communications relay / support for Alstom Philippines
  •  Attend and report to monthly  meetings with EA Comms
  • Provide write ups for events, milestones and developments in the project
  • Support CSR Activities

Compliance

  • Support in Company Permit Renewals such as City and Baranggay Business Permit
  • Coordination with Baranggay and LGU for any other permitting requirements
  • Support in any Government Agency Permitting Requirements such as Fire, Environmental, DOE et al
  • Support for PR and government relations
  • Local EHS and Dole Permitting Requirements if required.

Logistics

  • Flight and Booking Arrangment for Team and Clients
  • Review and Validate Travel and Hotel Invoices 
  • Organize and Coordination with Hotel and Venue for Company Milestones and Events
  • Agenda Management for Incoming External Teams and Client Visits
  • DHL and Other Parcel Booking and Management
