The Safety Documentation Assistant is responsible for ensuring the accurate, timely, and consistent entry, formatting, and maintenance of safety documentation. This role supports the effective management of Safe Work Method Statements (SWMS), incident reports, audit documentation, and other safety-related forms across mining and construction sites.
Required Skills and Attributes
- High attention to detail and accuracy.
- Strong English language and written communication skills.
- Fast, consistent, and accurate data entry skills.
- Proficiency with Microsoft Office (especially Word and Excel).
- A professional and proactive approach to task management.
- Ability to work independently while maintaining strong communication with supervisors.
Key Responsibilities
Data Entry and Records Management
- Enter completed SWMS forms, toolbox talks, JHAs, and risk assessments into the client's safety management system.
- Maintain appropriate version control for all safety documents.
- Ensure all documents are properly named, dated, filed, and retrievable.
Document Formatting and Quality Control
- Format safety documentation in accordance with the client's internal templates and branding.
- Check for missing fields, inconsistencies, or formatting errors before submission.
- Notify personnel of any incomplete or unclear records requiring clarification.
System Administration Support
- Ensure proper tagging of all documents (e.g., by site, date, job type).
- Assist in archiving outdated or superseded records.
- Run standard document tracking reports when requested by management.
Compliance Readiness
- Maintain documentation to an audit-ready standard at all times.
- Support the preparation of records for internal audits or regulatory inspections.

This role is subject to a number of skills and practical tests.
This position is an on-site role at our Pampanga office. Candidates must be willing to work on-site.
