Role Overview


We are seeking a highly organized and proactive Virtual Assistant with expertise in project management, digital marketing, and client communication. The ideal candidate will have strong skills in Microsoft applications and will play a critical role in supporting the day-to-day operations, managing calendars and emails, and maintaining seamless communication with our clients.




Key Responsibilities:


  • Manage calendar and communication with clients, vendors and staff to coordinate meetings.

  • Conduct research in support of various projects for the company (e.g. automation tools, events, networking organizations, suppliers, potential clients, etc)

  • Complete nominations and speaking engagement applications for the CEO

  • Identify potential vendors and conduct initial fit assessment

  • Organizer internal folders and files

  • Document procedures and communicate SOP updates to the staff as needed

  • Support the client onboarding process by completing tasks delegated to this role.

  • Create marketing content and graphics

  • Support client onboarding and client service processes

  • Monitor status of teams ongoing projects and escalate as needed

  • This is a new role and as such additional responsibilities are expected to change over time


Key Qualifications:


  • ο»Ώο»ΏBS in Business Administration, Accounting or relevant field.
  • Proven experience as a Virtual Assistant, Executive Assistant, or in a similar administrative role.
  • Strong project management skills with the ability to multitask and manage priorities effectively.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Experience in digital marketing, including social media management and email marketing.
  • Exceptional organizational and time management skills.
  • Strong communication skills, both written and verbal, with a client-focused approach.
  • Ability to work independently
  • Willing to work onsite and adaptable to work on the night shift



Preferred Skills:


  • Familiarity with accounting or finance-related projects is a plus.
  • Experience with project management tools
  • Knowledge of basic graphic design or content management tools like Canva, WordPress, or Mailchimp is a bonus.
