Casa de la Familia is a 501(c)(3) nonprofit organization dedicated to providing culturally sensitive mental health and social services to individuals and families affected by trauma. Our mission is to promote healing, resilience, and empowerment in underserved communities. We are seeking a highly organized and proactive Executive Assistant to support our Marketing and Business Operations teams, playing a critical role in advancing our programs and outreach efforts.
Position Summary:
The Executive Assistant will serve as a key support partner to the Marketing Director and business operations teams, ensuring seamless coordination of administrative, operational, and marketing-related tasks. This role is ideal for someone detail-oriented, thrives in fast-paced environments, and is passionate about supporting organizational impact through strategic operations and outreach.
Key Responsibilities:
Administrative Support:
- Manage calendars, schedule meetings, and coordinate appointments for Marketing and Operations leadership.
- Organize and maintain files, presentations, and reports for organizational meetings and events.
- Assist in drafting, editing, and distributing professional communications, including emails, agendas, and follow-ups.
- Prepare meeting agendas, record minutes, and track action items to ensure accountability and timely execution.
- Assist in research for team projects.
Marketing Support:
- Assist in coordinating outreach campaigns, email marketing schedules, and fundraising initiatives.
- Support the production of marketing materials, including presentations, flyers, newsletters, and social media assets.
- Track campaign deliverables, timelines, and approvals to ensure all projects stay on schedule.
- Maintain marketing databases, including CRM platforms, email lists, and donor engagement records.
Business Operations Support:
- Support grant-related projects, fundraising events, and program implementation with a focus on clear communication and organization.
- Act as a liaison between departments to facilitate collaboration, project coordination, and reporting.
- Coordinate special projects as assigned to support Casa de la Familia�s mission and growth.
Qualifications:
Education and Experience:
- Bachelor�s degree in Business Administration, Marketing, Communications, or related field preferred.
- 3+ years of experience as an executive assistant, project coordinator, or administrative professional, ideally supporting marketing or operational functions.
Skills and Competencies:
- Exceptional organizational and time management skills, with the ability to prioritize multiple tasks and meet deadlines.
- Strong verbal and written communication skills, with excellent attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and project management tools (e.g., Asana, Trello).
- Familiarity with marketing platforms such as Mailchimp, Canva, and CRM tools (e.g., Salesforce) is a plus.
- Ability to analyze data and create concise, impactful reports.
- Adaptability, problem-solving skills, and ability to work independently in a collaborative, fast-paced environment.
