About the Client / The Role
Our client is a dynamic Start-up and a fast-growing niche content production company in Australia’s aged care space, dedicated to reducing social isolation and disconnection among seniors across the nation. They are committed to providing engaging, relevant content and community-building opportunities for elderly citizens both in aged care and at home. As a Personal Assistant, you will play a crucial role in supporting the Founder/CEO and their small yet growing team, ensuring the smooth day-to-day operations of our client’s business. You will be responsible for a wide range of tasks, including administrative duties, social media management, sales support, and content creation assistance.
Key Responsibilities
- Administrative Support:
- Calendar Management - manage the CEO’s calendar and schedule meetings with clients, stakeholders and partners.
- Inbox Management - monitor, screen and respond to incoming emails and enquiries
- Travel and Logistics Arrangement - handle travel / meeting arrangements and expense reports.
- Document Preparation - Creating and editing and proofreading documents, such as presentations, reports, and correspondence
- Event Planning and Coordination - organising meetings, conferences, and other events, including booking venues, managing guest lists, and coordinating logistics for the CEO.
- Manage and maintain company files and records.
- Set up systems and processes to benefit future employees and the business as a whole
- Assist with monthly receipt management tasks as set by CFO
- Social Media Management:
- Oversee and manage the company’s social media accounts including LinkedIn, Facebook and Instagram
- Monitor and respond to comments and direct messages.
- Analyse social media metrics and share reports
- Prepare and manage monthly newsletters and blogs
- Sales & Marketing Support:
- Assist with lead generation and prospecting.
- Schedule and coordinate discovery calls and meetings.
- Maintain and update the company’s CRM system.
- Prepare follow-up documentation for customers in the sales pipeline such as proposals, welcome packs etc
- Content Research and Support:
- Assist with research and content ideation, working closely with the Content Producer.
- Edit, review and proofread content
- Assist with Website content to keep updated with changes
- Assist with image creation of new content as it is uploaded to the website
- Create and manage two-way live streaming sessions as needed on website
Other Responsibilities
- Make necessary process suggestions and improvements that can help the team
- Contributes to team effort by accomplishing related results as needed
- Perform other related tasks and duties that may be assigned later on
About You
- At least 5 years of experience in Personal Assistant / Executive Assistant roles for global companies
- At least 3 years of experience working for Australian companies
- You possess meticulous attention to detail
- You boast strong organisational and time management skills.
- You have excellent written and verbal communication skills in English
- Familiarity with CRM systems - Go High-Level CRM (https://www.gohighlevel.com) experience is a bonus
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Proficiency in Google Suite (clients preferred Suite)
- Ability to work independently and as part of a team.
- A positive and proactive attitude. You are able to adapt to the fast-paced work environment.
- Be proactive and preemptive in assessing tasks that need to be done.
