The Role:

As a Senior Deployment Officer, you are expected to be an organized individual who is a lead contributor under the Deployment team who will handle all travel, deployment and relocation related arrangements.

It is a fast paced role where the stakeholders can be from all levels of the organization including external stakeholders

Maintain strict confidentiality about the travel plans for each individual request within and outside the organization. Constant coordination is highly expected with Finance, P&C and Deployment Teams for strict implementation of internal policies

Responsibilities:

  • Manage end to end travel and deployment plan efficiently and cost effectively for local and international locations
  • Negotiate best rate and payment terms from the vendors/suppliers
  • Communicate with the person/s traveling on a timely manner to keep them updated on status of travel especially if there are changes
  • Manage emergency situations like flight cancellation, unreserved accommodation, transportation challenges or any incident that needs to be dealt with urgency
  • Check for potential immigration questions in relation to international travel
  • Close coordination with Finance for the approved budget of all travel expenses (airfare, accommodation, transportation, meals, etc)
  • Lead internal and external meetings with stakeholders involved in deployment and is the local counterpart of our overseas-based Careworker Coordinator
  • Attends to pre-deployment briefings, roundtables and other ad hoc meetings
  • Main contact person in all matters involving travel and deployment which includes doing research and analysis as needed by the Head of Delivery
  • Manages a team of Deployment Support Officers and Visa and Immigration Officer
  • Will act as lead proponent of the knowledge-based tools of the company and ensure that they are fully utilized, updated and constantly improved.

Requirements:

  • 5 + years’ experience in travel desk operations or deployment with at least 3 years in supervisory level.
  • Knowledgeable in bulk booking software and tools like IATA, Amadeus and Galileo
  • Highly aware about international travel regulations, customs, currencies and time difference.
  • Excellent verbal and written communication skills with the ability to call, connect, and interact to all levels of the organization
  • Organized, highly independent and knows how to effectively manage her time. People management skills is a big plus
  • College graduate with a degree in Hospitality, Tourism or any Business related course
  • Possesses an energetic, outgoing, and friendly demeanor
  • Able to communicate with C-Level Executives professionally and confidently
  • Demonstrated knowledge and skill to comply with organizational policies and procedures and regulatory requirements
