We are seeking a highly organized and proactive Virtual Assistant with experience in hiring, recruiting, HR, phone handling, and scheduling. The ideal candidate will be able to manage multiple tasks efficiently, support HR functions, and handle various administrative duties remotely. This position requires excellent communication skills, attention to detail, and the ability to work independently.

Key Responsibilities:

  • Hiring & Recruiting:
    • Assist with recruiting efforts by sourcing, screening, and scheduling interviews for potential candidates.
    • Manage job postings, applications, and candidate communications.
    • Support the recruitment team in coordinating interviews and assessments.
  • Human Resources (HR) Support:
    • Assist with employee onboarding, documentation, and maintaining HR records.
    • Manage and track employee leave requests, time-off, and attendance.
    • Assist with employee queries related to HR policies, benefits, and payroll.
  • Phone Call Management:
    • Handle incoming calls professionally and ensure that inquiries are addressed or redirected appropriately.
    • Take messages, schedule appointments, and follow up on client or candidate requests.
  • Scheduling:
    • Manage and coordinate calendars for team members, clients, and candidates.
    • Schedule meetings, appointments, and virtual interviews, ensuring efficient time management.
    • Ensure all scheduling conflicts are resolved and update calendars as necessary.

Qualifications:

  • Proven experience as a Virtual Assistant, HR assistant, or similar role with a focus on recruiting and scheduling.
  • Strong understanding of HR processes and recruiting best practices.
  • Excellent communication and phone handling skills.
  • Proficient in scheduling software and tools (e.g., Google Calendar, Microsoft Outlook, or similar platforms).
  • Familiarity with applicant tracking systems (ATS) and HR software is a plus.
  • Highly organized with the ability to multitask and meet deadlines.
  • Ability to work independently and maintain confidentiality.

Preferred Skills:

  • Experience in remote work and virtual team coordination.
  • Knowledge of relevant HR regulations and best practices.
  • Experience with project management tools like Asana or Trello.

Availability:

  • Available to start immediately.
  • Initially available for part-time work, with the potential to transition to full-time.
  • Willing to work according to US time zones.
  • Comfortable collaborating within a team and following direction from a team lead.
