THE OPPORTUNITY
Our partner, an Australian law firm that focuses on Property Law, Wills & Estates, and Intellectual Property, and has been around for 40 years, is hiring for competent Conveyance Legal Assistant. The team has served the needs of many clients by focusing on a friendly, professional & efficient service. They pride themselves on their relationships with clients and their ability to provide a seamless and efficient service.
We are looking for a specialized Conveyance Legal Assistant to undertake a variety of administrative and clerical tasks. The role reports directly to the Senior Legal Secretary, Senior Lawyer and Managing Principal of the Firm.
KEY RESPONSIBILITIES
- Setting up a file on the system.
- Ordering searches for Contracts of Sale.
- Preparing written advice to go out to clients on Property Purchases.
- Sending Clients a list of questions to prepare Contracts of Sale and putting together Contracts of Sale in Adobe Pro.
- Working on file post exchange of contracts which involves creating documents, sending to client, preparing PEXA workspace, ordering enquiries.
- Creation of PEXA workspace for other property documents that need to be lodged.
- Review of settlement figures for sale of properties.
- Preparation of settlement figures for the purchase of properties.
- Filing of emails through SILQ and extracting PDF documents.
- Making/adjusting calendar appointments using Outlook and arranging Team meetings.
- Generating client bills/tax invoices for clients and email receipt remittances to clients.
- Weekly preparation of SCORECARD which will then be sent to the Principal.
- Weekly, monthly, quarterly, and annual financial reports to Principal (through SILQ).
- Attending morning and afternoon Teams meetings every day.
SKILLS, EXPERIENCE & QUALIFICATION
- Bachelor's degree in relevant field.
- With at least 3 years of experience as Legal Assistant or equivalent.
- Excellent communication skills both oral & written .
- Excellent time-management skills to organize and coordinate multiple matters.
- Proficiency in Microsoft Office and other office productivity tools, including MS Word, MS Excel and MS Outlook.
- Discrete, flexible team player willing to work efficiently and effectively to complete tasks.
- Adaptable and proactive team member who takes initiative with their work.
- Has strong sense of accountability.
